Position Summary
We are looking for a thorough, detail-oriented and dedicated Logistics Assistant to join our team. The right candidate will be able to quickly learn and adapt to the needs of the role and ensure compliance with shipping export regulations and the shipping process. The ability to work in a diverse, fast-paced environment is essential. This is a great opportunity to learn and grow with a dynamic organization!
Key Responsibilities:
- Provide dedicated assistance in the following areas:
- Order Fulfillment – vendor follow up, notify sales teams and customers of order status; trace cargo, request warehouse receipt/packing lists from freight forwards, and electronically receive products in ERP; issue pull sheets, process back orders, create Dangerous Goods labels as required
- Dangerous Goods Shipments – check to ensure proper packaging and labelling of Dangerous Goods for export in accordance with US and international agencies’ regulations; issue export documentation, maintain various HAZMAT/Dangerous goods databases
- Freight Quotes – help to determine best shipping method for products, request air, ocean, courier or common carrier quotes; ensure quotes are correct and provide to Sales team as needed
- Freight Invoice Review
- Sales Order Dispatch and Invoicing
- Responsive and proactive customer service
- Other duties as assigned
Other Requirements:
• Positive, enthusiastic and flexible attitude
• Team-player mentality
• PC literate; proficient in Microsoft Office (Word, Excel and Outlook)
• Strong communication and organizational skills
• Language skills a plus, Spanish preferred
• Customer Service and /or administrative experience a plus
• Import and/or export logistics experience minimum 1 year (required)
• Takes personal responsibility for assigned tasks and works with a sense of urgency to meet deadlines
• High School diploma or equivalent required
• Consistent attendance and reliability
• Positive performance reviews
• Proactively pursue professional training and development, including ERP and other software, Export Compliance and Dangerous Goods training and certification
• Ability to attend company training programs on and off campus, both in and out of normal working hours
• Compliance with established protocols and procedures
